Donor Services Coordinator – Full Time

Reports to Director of Development

Job summary

The Donor Services Coordinator manages all individual donor benefit fulfillment, gift processing, ticket requests, volunteer management and helps coordinate the donor events and the Gala. Serves as the first point of contact for the organization’s donor base.

Summary of essential job functions

Income Processing

  • Process individual donor income through Tessitura CRM
  • Manage weekly acknowledgment letters and mailings
  • Process matching gifts, payroll giving, corporate giving, and soft credit gifts, with the appropriate acknowledgments
  • Manage pledges and payment processing for the Gala – sponsors, tickets, auction, fund a need

Individual Giving/Donor Services

  • Oversee thank you calls – create call record forms, scripts, and scheduling
  • Assist with processing donor wall and name-a-seat gifts
    • Process daily ticket requests from donors
    • Coordinates mailings and RSVP/check-in lists for donor benefit events: Behind the Scenes at Broadway At Music Circus, Donors’ Invited Dress Rehearsal, Broadway Sacramento Sneak Peek Party, Directors’ Circle Event
  • Cultivate relationships with donors at the Donors’ Lounge/Courtyard and at benefit events
  • Assist with identification of major gift targets and corresponding cultivation strategies
    • Assist in writing and mailing all printed materials for the department – reviews, edits, drafts, updates
    • Manage the Big Day of Giving program
    • Manage playbill ads and lists for individual and planned giving
    • Oversee promotional printed materials for the department – reviews, edits, updates


  • Volunteer recruitment and supervision
    • Manage contracts with vendors
    • Point of contact for committee – responsible for:
      • Sponsor sheet maintenance
      • Meeting minutes
      • Providing reports for meetings
      • Maintaining committee roster
    • Week-of and day-of event duties as needed
    • Track and update sponsorships and pledges
    • Auction fulfillment assistance
    • Coordinate gala print needs including save the date, invitation, playbill ads and programs

Volunteer Services

  • Work with volunteer coordinators in staffing Donors’ Lounge and Donors’ Courtyard
  • Manage volunteer appreciation events
  • Coordinate volunteer mailings and distribute new season information
  • Secure volunteer staffing for various events and mailings
  • Manage organization’s volunteer base


  • Cross-train for all functions of Tessitura as it pertains to Development
    • General clerical assistance as needed and assist with covering front desk phones as needed
    • Manage Winery of the Week – researches and solicits for wine donations
    • Other duties as assigned

Job specification of Donor Services Coordinator

  • A minimum of two years’ experience in general office functions and customer service
  • College graduate or equivalent experience
  • Demonstrated ability to work in a proactively diverse and inclusive organization;
  • Strong attention to detail, organizational and customer service skills; excellent presentation skills
  • Ability to thrive in a results-driven and collaborative environment with highly effective organization, multi-tasking, communication, negotiation and interpersonal skills
  • Ability and willingness to work evenings and weekends as needed
  • Experience with database systems, office computer equipment and software, Tessitura preferred
